Line items (subitems)
For order forms, expense claims, quotes and inspections: people add as many lines as they need, and each line becomes a subitem of the new item.
- Add the line items question: Tick your board's Subitems column. If the board has none, add a subitem to any item first.
- Choose each line's questions: At the top of the column list, switch to Subitem form. Tick the subitem columns to ask about, for example Product, Quantity and Unit.
- Switch back: Choose Item form to keep building the rest of the form.
On the form, people press Add, answer the line's questions, and see each line in a list they can edit or remove.
- Make the Subitems question Required to ask for at least one line.
- Line questions can have their own rules, limits and defaults, but rules on a line can only use questions on the same line.
- If the Subitem form has no questions, the line items question isn't shown on the form.
- A response can add up to 20 lines.
When someone edits their response
Under When a response is edited, choose what people may do with lines already on the item: Add lines, Change existing lines and Remove lines. Use Show only lines where to show only some lines, for example only lines whose Status is "Pending". Other lines stay on the item, unseen and unchanged.
Calculations, mirrors and dependencies
| Column | On the form |
|---|---|
| Formula | The result is worked out as people type, for example Budget incl. tax = Budget × 1.2. Formulas that use dates show "Worked out once your answers are saved", and the board works them out. |
| Mirror | Shows the value the board mirrors from the items picked in its Connect boards question, as soon as they're picked. For example, pick a project and see its owner. |
| Dependency | People pick items on this board. They see the item names, so use it on forms for your team, or limit who has the link. |
Tip: A formula only updates live when every column it uses is also a question on the form. Its settings say which ones to add.
Note: Formula and Mirror questions only show a value. They can't be required, and nothing is saved from them: monday works out the columns itself.
