Open Form settings and choose the General tab: Availability and Access are there. Like everything else, settings reach respondents when you publish.

Form settings: six tabs across the top. The General tab has General, Availability and Access.
Availability: accepting responses, open and close dates, maximum submissions, finish later, and one response per person set to add a repeat to the first response.
SettingWhat it does
Accepting responsesTurn off to pause the form. The link shows "This form is closed".
Opens on / Closes onThe form opens at the start of the first day and closes at the end of the last. Leave empty to open straight away, or to stay open.
Maximum submissionsThe form closes once this many responses are received. The Dashboard shows how many are left.
Let people save and finish laterAdds a Save and finish later button. See Finish later.
One response per personRecognises a second response with the same answer to the question under Recognise people by, and refuses it or adds it to the first response.

One response per person

  1. Turn it on under Availability. If the form has an Email question, it's chosen for you.
  2. Choose the question under Recognise people by: an email, name, phone, number or short-answer question.
  3. Make that question required, so nobody can skip it and respond again.
  4. Choose what happens under When someone responds again.
  5. Publish. It counts responses sent from then on.
When someone responds againWhat happensThey see
Refuse itNothing is saved."A response with these details was already received. Each person can respond once."
Add it to their first responseTheir new answers are posted on their first item as an update. Nothing is overwritten. New files and lines are added. No new item is made."You had already responded, so these answers were added to your first response."
Replace their first answersTheir first item takes the new answers, as if they had edited it. New files and lines are added. No new item is made."You had already responded, so your first response now has these answers."
Replace their first answers, with its warning.

Important: With Replace their first answers, anyone who types the same answer, such as someone else's email, can change that person's answers. Use it on forms for your team, or with a password. Publishing it without a password shows a warning.

  • A repeat that's added to the first response, or replaces it, isn't a new response. It doesn't count against Maximum submissions, and emails, AI sorting, approvals and the "When a form is submitted" trigger don't run for it. The Dashboard counts it as an edit of the first response.
  • With Replace their first answers, the PDF is made again, as for an edit.
  • Capitals and spaces don't matter. If you delete or archive someone's item, they can respond again.
  • MasterForms keeps only a scrambled fingerprint of the answer, never the answer itself.

Who fills it in, and a password

Under Access, Who fills it in is Anyone with the link unless you change it. Choose Your team, in the item card for a form only your team fills in, on items inside monday.com. See Forms for your team.

For a form anyone can open, turn on Require a password and set one of at least 4 characters. Visitors enter it before the form is shown.

Access: anyone with the link can fill it in, after entering the password.

Where responses go

On the Responses tab, under Where responses go, choose the Group new items are created in, or leave it on the top group. If the form has no Name question, choose the answer that names each new item under Item name.
