Automations
MasterForms adds a trigger and two actions to monday.com automations. Find them in your board's Integrate menu (top right): search for MasterForms and choose a recipe.
| Part | What it does |
|---|---|
| When a form is submitted (trigger) | Starts an automation each time someone sends a new response. Choose the board, and optionally one form on it. |
| Put the edit link in a Link column (action) | Writes the respondent's private edit link into a Link column on the item. The link reads "Update Submission". |
| Put an update link in a Link column (action) | Writes the item's private update link into a Link column. The link reads "Open update form". |
Send each customer a link to update their item
A common setup: when an order is confirmed, email the customer a link to update it.
- Turn on the links: In Form settings → Editing → Updating existing items, turn on Send a private link for each item, and publish.
- Add a Link column to the board, for example "Update link".
- Add the automation: Choose a monday trigger, like When Status changes to Confirmed, and the MasterForms action put an update link in a Link column. Choose this form and the "Update link" column.
- Email it: Add a second automation, or another step, that emails the customer with the "Update link" column in the message.
- Running the action again on the same item reuses the link while it still works, and restarts its expiry clock. A used, expired or turned-off link is replaced with a new one.
- If Send a private link for each item is off, the action does nothing.
- Links follow your settings: they can expire, and each can work once.
- With a Form status column chosen under Collect from everyone on the board, the action also sets the item to Sent. See Update existing items.
Put each respondent's edit link on their item
- Turn on editing: In Form settings → Editing, turn on Let respondents edit their submission, and publish.
- Add a Link column, for example "Edit link".
- Add the automation: When a form is submitted, then the MasterForms action that puts the edit link in a Link column. Choose the form and the column.
Your team can then open or send the respondent's own edit link from the item. This works for items the form created.
Other ideas with "When a form is submitted"
- Notify the item's owner, or post in a Slack channel, for every new response.
- Create a follow-up item on another board, or move urgent responses to another group.
- Combine with AI sorting: "When Urgency changes to High, notify the on-call person."
- Follow approvals with automations on the Approval column, like "When Approval changes to Approved, move the item to another group".
Note: The trigger runs for new responses only, not for edits. Your board's own monday automations, like "When an item is created", also run for every new response, because each response is a new item.
Sort each response with AI
AI reads each new response and fills in columns you choose, so monday automations can route it. For example, a support form that sets Category to "Billing" and Urgency to "High", then notifies the right person.
- Turn it on: In Form settings → Responses → Sort each response with AI, turn on Sort new responses with AI and confirm.
- Choose the columns: A Status column for Category (what it's about), Urgency (how soon someone should act) and Sentiment (how the person seems to feel), and a Text or Long text column for Summary (one sentence). Leave any on Don't fill.
- No column yet? Create an Urgency column (High, Medium, Low) and Create a Sentiment column (Positive, Neutral, Negative) add them for you.
- Explain your labels (optional): For Category and Urgency, add a line on how to choose, like "High means the customer can't work".
- Publish. Sorting starts with the next new response.
- AI only picks labels your columns already have. It never adds new ones.
- Only written answers, the form's name and your label descriptions are sent. Names, email addresses, phone numbers, people, files and signatures are never sent.
- Edits through an edit link aren't sorted again, so your team's corrections stay.
- If sorting hits a problem, for example a column was deleted, a notice appears at the top of this section.
