How to add the same item to multiple boards in monday.com

Short answer: native monday.com cannot put one real item on several boards, only read-only reflections. To do it for real, install Mirror Item Multiple Boards, open the item, choose a target board and group, and click Add Item. The item then lives on every board as a real item, and shared columns sync automatically. This guide covers the manual method, bulk mirroring, automations, and the gotchas to avoid.

Why put one item on multiple boards

Teams hit this constantly. A single task belongs to more than one board: a deliverable that the marketing board and the client board both track, an engineering ticket that should also appear on a leadership overview board, or one request that two departments are working on together. Copying it into each board means it falls out of sync the moment anyone makes a change.

What you actually want is one item that simply lives on every board it belongs to, so each team works in their own board while everyone sees the same up-to-date item.

The native options, and where they fall short

monday.com gives you Connect Boards plus Mirror Columns. You connect two boards, link the items by hand, then add a separate Mirror Column for every field you want to see. It works for read-only visibility, but it has real limits:

  • The mirrored values are read-only. You cannot edit them from the second board.
  • They cannot trigger automations or be used in formulas, so a status in a mirror column cannot move an item or fire a notification.
  • You add and maintain a separate column for every field, which clutters the board.
  • It is a multi-step manual setup per item.

To genuinely have one item on several boards, you need the real item on each board. That is what Mirror Item Multiple Boards does, and it is why the setup below is so much simpler.

Add an item to multiple boards, step by step

  1. 1. Install Mirror Item Multiple Boards. Add it from the monday.com marketplace. There is a free plan, so you can try it first.
  2. 2. Open the item and the Mirror Item tab. Open any item and click the Mirror Item Multiple Boards tab, which sits alongside Updates, Files and the Activity Log.
  3. 3. Choose a target board and group. Pick the board and group where the item should also live. Toggle Add Updates to sync comments, and Add Subitems to bring subitems along.
  4. 4. Click Add Item. Mirroring runs in the background, so you can carry on working. When it finishes, the item exists on both boards as a real item.

After mirroring, the app shows a sync table for that item: the Linked Boards it now lives on, the Common Columns being kept in sync, and per-row actions to Unlink (stop syncing, keep the item) or Delete (remove it from the target board). Common columns are detected automatically by matching column name and type, so there is no manual field mapping.

Mirror many items at once

To move a batch, select the items on a board, open the Apps bar that appears at the bottom, and choose Mirror Item Multiple Boards. A panel opens where you pick the target board and group and confirm the count, then mirrors them all in one action. This is the fastest way to set up an existing board or migrate a group of items.

Automate it with recipes

For a set-and-forget setup, use the app’s automation recipes. Common ones include:

  • When an item is created, mirror it to a target board and group.
  • When an item is moved to a group, mirror it to a target board and group.
  • When a status changes to a value, mirror it to a target board.
  • When a button is clicked, mirror all items to a target board.

Sync is two-way by default, so an edit on any board flows to the others. If you want one-way sync, disable the webhooks on a target board and changes will only flow from the source to that target, with no reverse writes.

Tips and things to watch

  • Create the columns first. The app does not add columns. The fields you want to sync must already exist on both boards with the same name and type.
  • Sync is by name and type. This is useful: keep matching names to sync, and rename a column on one board if you want it to stay private.
  • Formula and mirror columns will not sync, since monday.com computes those automatically.
  • Syncing comments across users requires each user to authorize the app once, which you can prompt from the settings.
  • A shared item counts once against your plan, no matter how many boards it lives on.

Can one item live on multiple boards in monday.com?+

Do the boards stay in sync both ways?+
