Do respondents need a monday.com account?
No. Anyone with the link can fill in the form, unless you set a password. Only the item card view, and forms set to Your team, in the item card, need a monday.com account.
Can my team fill in a form on an item, without a public link?
Yes. In Form settings → General → Access, set Who fills it in to Your team, in the item card. The form then opens only in the item card, under Team forms, and saving changes that item. See Forms for your team.
Can I see what someone sent from inside monday.com?
Yes. Add the MasterForms view to the item card. Its Response tab shows the form that made the item, every answer, when it was sent and edited, the PDF, the person's edit link and any approval. See In the item card.
Can I have more than one form on a board?
Yes. Each MasterForms board view is its own form. Add the view again for another form.
What happens when I change a form people are using?
Nothing changes until you publish. If someone is filling in the form when you publish, they're asked to reload, and their answers are kept on their device.
Does editing a response run emails, AI sorting and automations again?
No. Emails, AI sorting, approvals and the "When a form is submitted" trigger run for new responses only. The PDF is made again on every edit, so it always matches the item.
Can I put the form on my website?
Yes. Press Share, open Embed and press Copy code, then paste the code into your website. The form fits the page's width and grows with the form. See Share the form.
What happens when someone responds twice?
By default, a second response makes a second item. Turn on One response per person to recognise people by an answer, like their email, and choose whether a repeat is refused, added to their first response as an update, or replaces their first answers.
Can responses be approved before anyone acts on them?
Yes. Turn on Send each response for approval and set up to three steps. People in your account approve from the item card, and someone outside it approves through a private link. See Approvals.
Are signatures printed on the PDF?
Yes, when you place the signature question on your PDF template. It prints as the respondent drew it, at the width you choose.
What if I rename a label or delete a column on the board?
The form uses the board as it is now. Rules that use a removed label or question are flagged in the Logic view, with what to change.
Is there a "Powered by" footer on the form?
No. The form shows only your logo, colours and text.
Where are the answers kept?
In your monday.com board: each response is an item. MasterForms keeps your form's setup, a record of each response (when it was sent and edited, the link tag it came with and how long it took), each response's approval decisions, saved "finish later" answers for 30 days, and visit counts for drop-off.
Do I have to use AI?
No. Every AI feature is optional: building, importing, translating, sorting and Ask AI. Nothing is sent to AI unless you use one of them.
