Getting started
What does PDF Docs, Invoices + eSignatures do?
It turns monday.com items into finished documents (PDF, and Word for documents that come as Word), emails them from your own Gmail and collects eSignatures, all from a board view. Signed copies and documents are saved back on the item.
How do I set it up?
Install it from the marketplace, add its view to a board (+ next to the views, Apps, then PDF Docs, Invoices + eSignatures) and press Connect to monday once. See how to add it to a board.
Who on my team can use it?
Everyone on your monday.com account with edit access to the board. Viewers cannot use the app.
What documents can I make without any setup?
Five ready-made documents: Item summary, Invoice or quote, NDA, Event ticket and Board report. Name your columns like their fields and they fill themselves in. See ready-made documents.
Does it work in monday CRM, Work Management and other products?
It works on monday.com boards, so any product built on boards, including CRM deal boards.
Documents and templates
What formats can I generate?
PDF, plus a Word (.docx) file for documents that come as Word, so you can edit them before sending.
Can I use my own Word template?
Yes. Paste fields such as {{Item.Client}} into your Word file and upload it under My own Word file. See how Word templates work.
Can I use my own PDF?
Yes. Upload a PDF form or letterhead and drag your board's columns onto the page. PDF templates print Western European letters only, so use Word for other alphabets. See PDF templates.
Can documents include subitems?
Yes. An invoice uses one line per subitem, an Item summary can include a subitem table, and Word templates can repeat a row for each subitem with {{#subitems}} … {{/subitems}}. See lists in Word templates.
Can I add images and QR codes?
Yes. {{Item.Files}} prints the first image in a Files column and {{QR.Website}} prints a QR code for a link or text.
Can I export a whole board?
Yes. Choose Board report to get every item in one PDF, grouped like your board, with status colours. See export a board to PDF.
Where are documents saved?
In the item's file column, if Save it on the item is on. Automations can also save them in Google Drive.
eSignatures
Do signers need a monday.com account?
No. They get an email with a Review and Sign button and sign in their browser. Nothing to install.
How many people can sign one document?
Use numbered fields in a Word template ({{Signature1}}, {{Signature2}} and so on), or place up to 5 signature boxes on a PDF.
Is there an audit trail?
Yes. When everyone has signed, a signing record is saved on the item showing who opened and signed the document, when, and from which IP address.
Can I set a signing order?
Not yet. Every signer gets their link at the same time.
Do signing links expire?
No. Use Remind in History to send the link again to anyone who has not signed (at most once an hour).
Do signatures count against my plan?
Signature requests sent from the app do not count. The automation that makes and sends a contract counts as one document.
Email and automations
Which email address do documents come from?
Your own Gmail. Connect it once and it is available to everyone on your account. You can connect more than one and choose the sender.
Can documents make themselves automatically?
Yes. Six recipes make a PDF, email it, save it to Google Drive, or send a contract for signature, for example when a status changes. See automations.
Why is a field blank in my email?
In emails, spaces and symbols in column names become underscores, and capitals must match: {{Item.Due_Date}}.
Plans and security
How are documents counted?
Each plan includes 50, 250, 500, 1,000, 5,000 or unlimited documents per billing period. Every document made counts as one, in the app or by an automation. Emails and signature requests from the app do not count. See plans and limits.
Are there size limits?
Documents saved on an item can be up to 25 MB and email attachments up to 20 MB. The item list shows the first 100 items on a board.
Where does the app run?
On monday Code, monday.com's own infrastructure, which is SOC 2 and ISO 27001 certified and GDPR and HIPAA compliant.
Compared with other apps
How is PDF Docs different from DocExport?
Both make PDF and Word documents from items. PDF Docs includes eSignatures on every plan with no separate signature allowance and sends from your own Gmail; DocExport adds a signing order and charts. See PDF Docs vs DocExport.
How is PDF Docs different from GetSign?
Both generate documents and collect signatures. GetSign counts signatures separately and offers form fields, OTP and Stripe payments; PDF Docs has no signature allowance and uses Word templates. See PDF Docs vs GetSign.
