How to generate and sign contracts and NDAs in monday.com

Short answer

Use the ready-made NDA, or turn your own contract into a Word template with fields like {{Item.Client}} and {{Signature}}. Then send it from the item with PDF Docs, or let the Send a contract for signature recipe send it when a deal is won. The signed PDF and signing record come back to the item.

Contracts are where copy and paste really hurts: a wrong name or date in an NDA is embarrassing, in a contract it is expensive. Generating the contract from the item keeps the details right, and sending it from the same place means you always know who still has to sign.

The fastest start: the ready-made NDA

The NDA document works with no template. Name your columns like this:

Make it once, press Get the template to download the Word file behind it, adjust the wording with your lawyer, and upload it back as your own template.

Turn your own contract into a template

  1. 1Open your contract in Word.
  2. 2In the app, choose My own Word file and press Fields for this board. Click a field to copy it.
  3. 3Replace each detail with a field: {{Item.Name}}, {{Item.Client}}, {{Item.Start Date}}, {{Today}}.
  4. 4Add {{Signature1}} and {{Date1}} for the client, and {{Signature2}} and {{Date2}} for your side.
  5. 5Save it as a signature template from Get a signature.

Send it from the item

Open Get a signature, pick the contract template, the item and the signers, and press Send for signing. Each signer gets a Review and Sign email from your Gmail and signs in the browser. You can see progress, like 1 of 2 signed, in History, and send a reminder from there.

Send contracts automatically when a deal is won

  1. 1Add one Email column per signer to the board, for example Client Email and Signer Email.
  2. 2Open Automate, search for PDF Docs and choose Send a contract for signature.
  3. 3Set the trigger, for example when Stage changes to Won.
  4. 4Pick the Word signature template and the Email columns, in the same order as the numbered signature fields.
  5. 5Test it on one item, then turn it on for the board.

Important: The recipe needs exactly as many email addresses as the template has signers, and works with Word signature templates.

  • The signed PDF lands in the file column you chose; the Files column by default.
  • A signing record shows who opened and signed, when, and from which IP address.
  • History lists every request with how many people have signed.
