DocExport is a solid PDF generator. Most teams that look for an alternative are not unhappy with the PDFs. They hit one of a few walls: signatures only come with higher plans, signature counts are capped, or they want emails to come from their own address. Here is what changes if you move, and how to switch without losing a day.
Why teams try PDF Docs
Signatures on every plan, with no allowance
In PDF Docs, eSignatures are part of every plan. Sending a signature request from the app does not count against your documents, so you do not have to track a second limit. Signers get a Review and Sign link, sign in their browser without an account, and the signed PDF comes back to the item with a signing record.
Email that comes from you
Connect your Gmail once and documents go out from your own address, with an email template filled in from the item. Replies land in your inbox, not a no-reply mailbox.
Keep writing in Word
Templates are ordinary Word files with fields like {{Item.Client}}. Your sales or legal team can keep editing the wording in Word. Five ready-made documents (invoice or quote, NDA, event ticket, item summary and board report) work with no setup at all.

- 1Install PDF Docs and add its view to one board: click + next to the board's views, choose Apps, then PDF Docs, Invoices + eSignatures. Press Connect to monday once.
- 2Try a ready-made document first. Choose Invoice or quote, NDA or Item summary and an item, then press Make PDF. If your columns are named like the fields, everything fills in.
- 3Rebuild your own templates in Word. In Make a document, choose My own Word file and press Fields for this board. Copy a field for each column and paste it into your document, then upload it.
- 4Set up signing. Add
{{Signature}}and{{Date}}to a contract and save it as a signature template. Send one to yourself to see what signers get. - 5Move your automations. In Automate, search for PDF Docs and recreate each recipe. Test it on one item, then switch off the old one.
- 6Remove the old app once a week of documents has gone out cleanly. Documents already saved on your items stay where they are.
Note: PDF templates (fields placed on top of an uploaded PDF) print Western European letters only. For other alphabets or emoji, use a Word template.
When to stay with DocExport
We would rather you pick the right tool. Stay with DocExport if signers must sign in a fixed order, if your documents depend on charts or merged PDFs, or if you need processing on EU servers. PDF Docs does not do those today.

Will I lose my existing documents if I switch?
No. PDFs already saved in your file columns stay on the items. Switching only changes how new documents are made.

Yes. Documents that come as Word give you a .docx below the preview, so you can edit that copy before sending.
Do signers need a monday.com account?
No. They open the document from an email link, draw or type their signature and submit it. There is nothing to install.
